Job description

We are seeking a proactive and organized Office Assistant to ensure the smooth operation of our office environment. This role involves managing daily office activities, coordinating with service providers, organizing staff events, and providing administrative support to the executive committee as needed. 

Your impact and responsibilities

Office Management & Coordination:

  • Oversee daily office operations, ensuring a clean and organized workspace;

  • Coordinate with cleaning staff to maintain office hygiene standards;

  • Liaise with building management for maintenance and facility issues;

  • Order and unpack groceries;

  • Manage office supplies inventory; procure items as necessary;

  • Handle incoming and outgoing mail and packages. 

 

Staff Support & Event Organization: 

  • Organize staff lunches, including ordering and setup;

  • Plan and coordinate staff outings, team-building activities, and other events. 

 

Executive Committee Support: 

  • Provide administrative assistance to the executive committee assistant, including scheduling (off-site) meetings and preparing documents;

  • Booking travel, organizing restaurants and setting up meetings;

  • Maintain confidential files and records for the executive committee. 

Your team

As our new Office Assistant, you’ll be an integral part of our great and international HR team. With around 15 colleagues spread between Amsterdam and the Czech Republic, we work closely together to support the company and each other.  

Job requirements

  • Proven experience in office administration or a similar role;

  • Strong organizational and multitasking abilities;

  • Excellent communication and interpersonal skills;

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook);

  • Ability to handle confidential information with discretion;

  • Experience coordinating with vendors and service providers;

  • Familiarity with event planning and coordination; 

  • Basic knowledge of facility management.
